As an account grows, the questions get harder to answer: who has access to this workspace, does this person still need it, and did we actually remove the teammate who left last month? The Users tab on the account dashboard answers those questions in one place. It lists every user in your account, shows which workspaces they belong to, and lets you grant, change, or revoke their access without opening each workspace in turn.
Access the users dashboard
The users dashboard is only accessible to workspace owners with account admin permissions. To get access, ask an existing account admin in your organization to add you.
Expand the workspace dropdown in the top right corner of the mabl app and click on your account dashboard. Then select Users in the left-hand navigation.
Find a user
Use the search field to filter the table by name or email. You can also sort the table by clicking a column heading.
The Workspaces column shows how many workspaces each person belongs to, so you can spot users with unexpectedly broad access at a glance.
Manage a user's workspaces
Click Manage on a user's row to open their workspace memberships. The dialog lists every workspace in your account and shows the user's current role wherever they're already a member. To narrow the list, search by workspace name or switch between the All, Member, and Not a member filters.
From this dialog you can add the user to workspaces, change their roles, and remove their access. Click Done to save your changes.
Account admins can manage their own workspace memberships from the Users tab too. The one change you can't make to yourself is removing your own account admin role; ask another account admin to do that.
Add someone to one or more workspaces
Instead of opening each workspace's Settings > Team page, you can add a user to one workspace, several, or every workspace in your account in a single pass.
- Click Manage on the user's row.
- Select the checkbox next to each workspace you want to add them to. Use the Not a member filter to see only the workspaces they don't belong to yet, and use the checkbox in the table header to select every workspace in the current view.
- From the Add as dropdown, choose the role the user should have in the selected workspaces.
- Click Apply.
- Click Done.
If your selection includes workspaces the user already belongs to, you can choose whether to update their role in those workspaces as well.
Change someone's role in a workspace
Roles are set per workspace, so the same person can be an owner in one workspace and a viewer in another.
- Click Manage on the user's row.
- Search by workspace name, or use the Member filter to see only the workspaces they belong to.
- Select a new role from the Role dropdown.
- Click Done.
To give someone the same role in several workspaces at once, select those workspaces, choose the role from the Add as dropdown, and click Apply, as described in add someone to one or more workspaces.
Remove someone from a workspace
To take a teammate off one project while leaving their other access intact, click Manage on their row, then click the delete icon next to the workspace you want to remove them from. Click Done to apply the change.
A workspace always needs at least one owner. If the person you're removing is the last owner of a workspace, assign the owner role to someone else first.
Remove someone from every workspace
When a teammate leaves your organization, you can revoke their access across the whole account in a single step instead of visiting each workspace.
- Click Manage on the user's row.
- Click Remove from all workspaces.
- Click Done.
Add or remove account admins
An account admin is a workspace owner who can also open the account dashboard. We recommend maintaining at least two account admins per account to ensure continuity.
There are two ways to promote someone:
- From a single user: click Manage on their row, then click Make account admin.
- From the full list: click Manage admins to see every account admin together. Select someone from the Add an account admin dropdown and click Add, or click Remove next to an admin to revoke their access to the account dashboard.
You can track when account admin access changed and who changed it from the company-level activity feed.
Export the user list
To share your account's access list with stakeholders who don't have account admin permissions, or to keep a record for an audit, click Download CSV. The file contains one row per user with their email, workspace count, and account admin status.
The Download CSV button on the users dashboard exports users across your whole account. The button on a workspace's Settings > Team page exports the members of that one workspace, along with their roles.
